Approval to award RFP 16-004 to the lowest responsive bidder, Summit Systems, Inc, for the replacement of network equipment for the amount of $105,826.60 and the optional network access control security software for the amount of $37,403.27.

 

Body

ISSUE:  To replace the City's existing network equipment that has reached the end of it's useful life.

 

BACKGROUND:  Currently the City's network equipment consists of Cisco network switches that are eight years old or older.  These switches no longer meet the needs of the city and must be replaced.  An RFP was issued for replacement equipment and there were 10 responses, ranging from $105,826.60 to $301,754.25.  Several manufacturers were specified, including Cisco, Extreme, Brocade, Juniper, Meraki, and HP.  After careful consideration, the IT department is recommending the lowest bidder, Summit Systems, Inc, whose bid specified Extreme Networks switches.  The IT department also recommends purchaing the optional NAC software to ensure the security of our network.  The total cost is $143,229.87 which is still below the cost of all but one of the other bidders, and that bidder, Smartwave Technologies, did not include the NAC software. 

 

RECOMMENDATION/REQUESTED ACTION:  The IT Manager and Purchasing recommends the approval to award RFP 16-004 to the lowest bidder, Summit Systems, Inc.
