Title

Approval to renew with Granicus for a three (3) year agreement, to continue providing software maintenance to the city's agenda management system for a total impact amount of $52,741.57 and authorize the Mayor to execute all related documents.

Body

ISSUE:  The proposed agreement is for a term of three (3) years.  The annual amount for $26,247.19 for a total impact of $78,741.57.  An audit was preformed at the request of the City Clerk and it was discovered that Granicus had been charging for a module that had not been set up and installed.  They have issued a credit in the amount of $26,000.00 to be applied to the first annual payment bringing the total impact to $52,741.57 for the three (3) year agreement.

 

BACKGROUND:  The City of Smyrna purchased the Granicus Agenda and Minutes Management system in April of 2012.  Through this system we video stream the Mayor and Council, Planning and Zoning and License and Variance Board Meetings.  We are also able to stream/record special events from Council Chambers.  The cities agendas and minutes are created in this system and housed on the legistar calendar where all agendas, minutes and videos can be viewed.  With each agenda we are able to load all documents concerning each agenda item, they are hyperlinked to allow access to the public.
